A Tour Operator Needed Bookings That Fill Tours Without Double-Booking Anyone.

An adventure tour operator whose tours share the same vehicles, with busy days when cruise ships are in. Bookings have to be right every time, day or night.

The Problem

Bookings Spread Across Tools

The tours were in demand. The booking setup couldn't keep up with how they actually run.

What We Did

A Booking Engine Built for How They Work

Online booking with shared capacity across tours, a standby list that moves people up when a seat frees, a cruise-day calendar, branded confirmation emails and an admin for the team. Content is made for every channel, a new blog post goes out every week, and the site is checked every five minutes.

How It Works, Week to Week

  1. A customer books online, and seats come from the shared vehicles, so no tour is overbooked.
  2. If a tour is full, they join a standby list and move up when a seat frees.
  3. Branded confirmation emails go out, and the team sees the day's manifest.
  4. Every week a new blog post is drafted, approved in one tap, and shared to Facebook and Instagram.
  5. The site is checked every five minutes and backed up every night.
